Included in every engagement

Every ProAI engagement includes the practical pieces needed to make the tool usable after launch:

• Written proposal with fixed scope, deliverables, timeline, and total price before any deposit is invoiced.
• Data-processing agreement signed before build begins, aligned with the Protection of Personal Information Act (POPIA).
• Progress updates at least weekly during active work, with a live view of what has shipped and what is next.
• Admin documentation so your team can operate, monitor, and reconfigure each tool without ongoing dependency on ProAI.
• Handover session at the end of the engagement, walking your team through every tool, integration, and admin function.
• 30–90 days of post-launch support depending on tier, covering bug fixes and small tweaks at no additional cost.

Payment schedule

All fees are invoiced by PROAI (Pty) Ltd in South African Rand. PROAI is a registered VAT vendor (VAT number 4100322660); VAT is added to every invoice at the prevailing rate (currently 15%) and shown as a separate line item on a valid SARS tax invoice.

Payment is made by electronic funds transfer (EFT) to a South African bank account, or by card via a secure payment gateway on request. Full banking details appear on every invoice.

Third-party costs

Some engagements require paid third-party services — for example, WhatsApp Business API messaging fees, Anthropic / OpenAI API usage, Twilio call minutes, or hosting on a client’s cloud provider. ProAI does not mark these up. They are billed at cost, either:

• Directly by the third party to your business account (recommended, and the default); or
• Passed through on a ProAI invoice with the original invoice or receipt attached.

Estimated third-party monthly running costs are included in the written proposal so you can see the full picture before committing.

Custom scoping

Not every engagement fits neatly into a published tier. If your requirement is larger, smaller, or structured differently — for example, a phased pilot, a compliance-heavy build, or a partnership with revenue share — we quote per scope after a 30-minute discovery call. There is no cost or obligation for the discovery call.

Pricing FAQ

What if the scope changes mid-engagement?

Changes to the agreed scope are handled with a written change-request. Small tweaks that fit within the original hours are absorbed at no additional cost. Larger changes are quoted before work begins — no surprises on the final invoice.

Do you offer discovery calls?

Yes. Discovery calls are 30 minutes, held on Google Meet or by phone, and are free of charge. Book via the contact form or WhatsApp us.

Is VAT included in your prices?

No — prices displayed are exclusive of Value Added Tax (VAT). PROAI (Pty) Ltd is a registered VAT vendor under VAT number 4100322660 and adds VAT at the prevailing rate (currently 15%) to every invoice, shown as a separate line item. A valid SARS tax invoice is issued for every payment.

Which payment methods do you accept?

Electronic funds transfer (EFT) to a South African bank account is the default. Card payment via a secure payment gateway is available on request. We do not accept cash or cryptocurrency.

Are the prices negotiable?

The starting prices published above are firm floors. Scope and inclusions are negotiable in the proposal stage. We aim to structure engagements so that value is clear before you commit, not after.

What happens if I need to cancel?

See the full Refund & Cancellation Policy. In summary: full deposit refund within 7 days of signing if no work has commenced; pro-rata refund for uncompleted work after that; 30 days’ notice for monthly retainers.
